Shopify Inbox can help B2B buyers get initial answers before a sales conversation. To make it useful, prepare accurate business information, configure how the agent communicates, and test the route to a person. Keep negotiated prices, technical approvals and contractual commitments with the responsible team. Training alone does not teach the agent new business facts.
For a B2B Shopify store, the practical question is whether a buyer can move from a product question to a useful inquiry. This guide explains what to configure, what to test, and where human review still belongs.
By GRC. Shopify documentation checked October 3, 2026. Industry examples illustrate proposed processes and planning decisions.
What does the Shopify Inbox agent do?
The Inbox agent can automatically answer questions in your online store chat, using store information. Shopify documents product guidance, recommendations, order lookup and cart assistance. Its replies follow the customer's language, although catalog details may remain in your store's language. Shopify's Inbox agent guide.
The agent requires Inbox, an active Online Store, and new customer accounts. Shopify lists Basic, Grow, Advanced and Plus as supported plans. Legacy customer accounts do not support the agent. Confirm your account setup before changing it.
In Inbox, you can assign new conversations to the agent, use it outside staff availability hours, or leave it off. Starting outside staffed hours is one possible pilot; choose a mode around your team's actual coverage. These controls describe when chat is handled, not a promise that every inquiry will be resolved.
What is the difference between knowledge, persona and training?
Knowledge supplies facts. Persona guides expression. Training refines those communication preferences. Treat them as separate configuration tasks.
| Layer | Purpose | B2B example |
|---|---|---|
| Store content and Knowledge Base | Provide information the agent can reference | Published specifications and an approved explanation of how quotations work |
| Persona | Set tone, wording and service style | Use plain technical language and ask focused clarification questions |
| Training | Review responses and refine persona suggestions | Prefer a helpful clarification over a pushy purchase recommendation |
| Inbox settings | Control availability, staff handoff and sign-in | Make the route to staff work during the team's coverage hours |
Shopify identifies the catalog, policies, Knowledge Base facts and files, and published storefront content as information sources. Put an approved business fact in the relevant source. Facts written only into a persona may be used inconsistently, and persona instructions cannot override Inbox settings. Shopify's persona and data-source documentation.
For example, changing a preferred answer from "Buy now" to "Tell us about your application" can improve service style. It does not establish a new minimum order quantity or authorize a custom price.
Which B2B information should you prepare first?
Prepare the information that determines whether a buyer can proceed. Start with one representative product family or service, then expand after testing.
| Buyer question | Information to verify | Boundary to explain |
|---|---|---|
| Does this fit my application? | Published specifications, supported uses and known limitations | Unusual operating conditions need technical review |
| Can I order this quantity? | Approved standard quantities and sample policies, where applicable | Custom production requests need confirmation |
| How do I request a quotation? | Required inputs and the approved contact route | A request does not establish an agreed price |
| Can you ship to my location? | Current destination coverage and shipping policy | A project delivery date needs separate confirmation |
| What payment terms apply? | The public purchasing process, where documented | Customer-specific credit and terms need authorized review |
Use the existing product or policy source when it already owns the answer. For a missing business explanation, add a concise FAQ in Shopify Knowledge Base. Its testing view shows matched resources or an unanswered result, helping you identify information gaps. Shopify's Knowledge Base FAQ guide.
Keep private contracts and customer-specific information out of general FAQs. Choose an owner for each important answer and review it whenever the business changes the underlying policy. More content only helps when it is current and consistent.
How should you configure and train the agent?
Set a clear service style, then test whether it produces useful conversations. A B2B buyer usually benefits from a concise explanation and an appropriate next step.
The following is an illustrative persona starting point to adapt and test:
Use clear, professional language. Explain technical terms when needed. Ask one relevant clarification question at a time. Acknowledge uncertainty and avoid pressuring the buyer to purchase. Help the buyer understand the next useful step.
This describes communication preferences. Configure handoff through Inbox settings and put actual quotation rules in an approved information source. A persona is not a reliable way to enforce a commercial approval process.
Shopify's training area supports practice scenarios and ratings of real conversations. In practice, compare proposed replies or provide your preferred response. Review any resulting persona suggestion before accepting it; feedback does not apply updates automatically. Training changes communication preferences, not store knowledge. Shopify's Inbox training instructions.
Review feedback by cause. If the answer uses the wrong lead time, correct its source. If it is accurate but abrupt, refine the persona. If the buyer cannot reach a person, inspect settings and staffing. Repeating training cannot repair all three problems.
How can chat become a useful B2B inquiry?
Give the buyer a clear route to follow-up, and verify that your team can actually contact them. A completed chat is not automatically an identifiable sales lead.
Under new customer accounts, an unsigned conversation is shown as a shop visitor and is not linked to a customer record. Requiring sign-in for staff chat still allows an anonymous conversation with the agent; the requirement applies when moving to staff. Decide how that transition should work for your buyers. Shopify's sign-in and chat settings.
For a hypothetical equipment supplier, a buyer might first ask whether a product suits an application. Useful follow-up information could include operating requirements, quantity, destination and preferred timing. The sales team then checks fit and prepares the next discussion. This is a suggested intake workflow, not a claim that Inbox supplies a structured RFQ form or CRM integration.
Do not ask every visitor to finish a technical brief in chat. Offer a short, relevant checklist and the business's approved contact route. If drawings, multiple line items or conditional questions matter, assess a separate RFQ process and test how its context reaches sales.
When should a person take over?
Plan for human review when a request needs a commitment your public information cannot establish. Examples include negotiated pricing, a custom specification, credit approval or a confirmed production date.
When handoff is available, Shopify moves the conversation to the unassigned Inbox queue with prior AI context. Assign someone to monitor that queue. If handoff is unavailable, the agent shares the store's sender email address. The customer must send the email; the agent cannot send it on your behalf. Shopify's conversation and handoff documentation.
Check that the sender address reaches the right team. Do not count a displayed email address as a received inquiry. Likewise, asking the agent to recommend escalation is not proof that every commercial exception will be recognized. Test those requests directly and keep an accessible contact alternative on the website.
For account-specific B2B pricing and purchasing terms, verify the complete authenticated workflow in your own store. The chat documentation alone does not establish that the agent can quote the correct company price or approve a credit arrangement.
What should you test before using it with buyers?
Test facts, follow-up and exceptions separately. Use an internal buyer scenario and observe the full journey on desktop and mobile.
- Known answer: ask about a published specification and check its accuracy.
- Missing answer: ask about an undocumented capability and check whether uncertainty is clear.
- Commercial exception: request a special price or guaranteed date and check that no unsupported commitment is made.
- Staff handoff: ask for a person during and outside coverage hours, checking both destinations.
- Contact continuity: test unsigned and signed-in conversations, then determine whether a later reply can reach the buyer.
- Language and mobile: repeat representative questions in your buyers' languages and check the chat interface.
Record the question, observed answer, relevant source, follow-up destination and required correction. These are suggested acceptance checks; passing a small set of tests cannot guarantee every future response.
After launch, review unanswered questions, incorrect answers, missed handoffs and received inquiries. For a B2B business, evaluate whether those inquiries lead to relevant sales conversations. Chat activity alone does not show inquiry quality or revenue contribution.
What is a practical next step for your store?
Choose one buyer journey to improve. Prepare its approved answers, decide which requests need sales review, and test the contact route before expanding the setup.
